This policy explains how billing, suspension and account closure work at Hive Hosting. By using our services you accept these terms in addition to our full Terms & Conditions.
1. Billing & resource allocation
All hosting plans are billed in advance — either monthly or annually — and your fees pay for reserved resources on our servers, not for measured usage. Because those resources are held for you whether or not you use them, billing continues for the full term regardless of activity. In the same way rent is due on an apartment even when you are away, your hosting fee is due even when your site is idle.
2. Payment terms & grace period
Invoices are due on the date of issue. We extend a five (5) day grace period after the due date to settle any outstanding balance. Once that period lapses without payment, the account is automatically suspended.
3. Suspension
While suspended:
- Your website, email and cPanel access are blocked.
- Existing data remains intact on our servers and is not deleted.
- No reminders are sent beyond the standard overdue notices.
4. Reactivation
A suspended account can be reactivated at any time within twelve (12) months simply by settling the outstanding balance in full. We may, at our discretion, agree to a short-term payment plan — please reach out to our support team to discuss.
5. Automatic deletion of inactive accounts
If an account remains suspended or otherwise inactive for twelve (12) consecutive months, the account, its websites, email mailboxes, databases and backups will be permanently deleted from our infrastructure. Before deletion takes effect we will send a final notice to the email address on file at least thirty (30) days in advance.
6. Client responsibilities
To keep your services running smoothly, you agree to:
- Keep your contact and billing details current at all times.
- Monitor invoices and pay them on time.
- Maintain your own independent backups of any business-critical data.
- Protect your cPanel credentials. If you share login details with a third party and that party causes data loss or damage, Hive Hosting is not responsible.
7. Data security, backups & access
You remain solely responsible for the backup of your own data. Every cPanel account includes built-in security tools — two-factor authentication, free SSL, IP-based access controls and Imunify360 protection — and you are expected to use strong, unique passwords and to replace any temporary passwords immediately after first login.
8. Cancellation
You may cancel your service at any time from your client area or by emailing our support team. Cancellations take effect at the end of the current billing period, and no refunds are issued for partially used periods. We may also terminate service for breaches of our Acceptable Use Policy, abusive behaviour, or persistent non-payment.
9. Questions?
If anything here is unclear, please open a support ticket or email us — we are happy to walk you through it before you commit.
